Dependents
The Dependents tab on a member's profile shows all children linked to that member as a responsible (guardian). Omoplata was built from the ground up to handle every family scenario -- one child, multiple children, parents who also train themselves, divorced parents sharing custody, or grandparents dropping kids off at class. Everything is designed so families have a single place to manage it all.
Understanding dependents
In Omoplata, a "dependent" is a member who requires a responsible adult to manage their account and pay their fees. This is typically a child enrolled in kids' or teens' classes. The system determines whether a member is a dependent in two ways:
- Date of birth -- If the member has a date of birth on file, the system checks whether they are under the minimum age for the relevant user demographic.
- Linked responsible -- If no date of birth is set, the system checks whether a responsible adult is linked to the member.
Viewing dependents
The Dependents tab lists each child linked to the member. Each entry shows:
- The child's full name
- Their member number
- A link to view the child's full profile
Clicking View takes you to the child's own member profile, where you can manage their membership, attendance, and other details.
One guardian, several children
A guardian is not a special construct in Omoplata -- it is an ordinary profile in the system, one that carries the address and the payment method. That is exactly why not every child needs their own email address and their own account: all of the children are linked to the same profile, and the guardian manages them from a single login.
Linking several children to one profile
The Responsible field is what matters when you create a child. For the first child, enter the parent's name and email address there -- that creates their profile. For the second and every further child, enter the same address: Omoplata recognises the existing profile, points that out right on the field and attaches the child to it instead of creating a second account. That is also how you link a member who already trains with you as a responsible -- and if a guardian later wants to train themselves, you simply add a membership to their existing profile.
Children with their own email address
An address of their own is optional but possible -- typically for older children and teenagers. It lets the child sign in to the app themselves. The address has to differ from their guardian's, because each email address can belong to only one profile in your club.
What a guardian does from one login
From their own account -- in the member app or the browser portal -- the guardian sees all linked children listed one below the other and never has to switch accounts between them:

If a session is fully booked, confirming for that child is blocked and the session is marked as full. If your club works with time slots instead of per-session confirmations, the guardian picks the time slots once per child -- after that the child counts as scheduled permanently. Primary and secondary guardians
Each dependent can have multiple adults linked to them. The distinction matters for billing and portal access.
Primary responsible
The primary responsible is the main contact and billing payer for the dependent. Key behaviors:
- All membership charges are billed to the primary responsible.
- Payment methods are stored under the primary responsible's account.
Secondary responsible
Secondary responsibles are additional adults who can access and manage the child through the portal. Common scenarios include:
- Both parents needing portal access
- Divorced parents sharing custody
- Grandparents or nannies who bring the child to class
Secondary responsibles can:
- View the child's profile, classes, and attendance in the portal
- Confirm or decline upcoming class attendance for the child
- Access the child's documents and schedule
Secondary responsibles cannot manage billing. All payment responsibilities stay with the primary responsible.
Adding a secondary responsible
From the child's Profile tab, click the Add secondary responsible button. You can either create a new user or link an existing member. The new responsible automatically gets access to manage the child through the mobile app and the portal.
Family accounts in the app
In the app, the guardian has a quick switcher to move between their own account and their children's -- for the attendance intention or the check-in, for example. No logging out and back in is needed for that. Learn more under Member app and Check-in.
How billing works for dependents
Billing for dependents is always handled through the primary responsible:
- Charges -- When a membership charge is generated for a child, it is assigned to the primary responsible's account.
- Payment methods -- The payment method used to collect charges belongs to the primary responsible, not the child. On the child's Payment Methods tab, you see the responsible's payment methods with a note indicating this.
- Invoices -- Invoices for a child's membership are issued to the primary responsible. If the responsible has multiple children, each child's charges appear under the same payer.
Changing the primary responsible
When you promote a secondary responsible to primary:
- Payment methods are transferred from the old primary to the new primary.
- The child's memberships are updated so billing goes to the new primary.
- All future charges are directed to the new primary responsible.
Billing impact
Changing the primary responsible immediately affects billing. Make sure the new primary has a valid payment method on file before making the switch, or set one up promptly after.
Removing a responsible
Removing a secondary responsible
Secondary responsibles can be removed at any time without affecting billing. The relationship is simply detached, and the removed person loses access to the child in the mobile app and portal.
Removing the primary responsible
The primary responsible can only be removed if the member is 18 or older (no longer a minor). When removed:
- Payment methods are transferred from the responsible back to the member.
- Future charges are billed to the member directly.
If other secondary responsibles exist when the primary is removed, the first secondary is automatically promoted to primary.
Minor protection
You cannot remove the primary responsible from a minor. Members who are under 18 must have at least one responsible on file at all times. If you need to change who is responsible, promote a secondary to primary first, then remove the old primary.
Family view in the mobile app and portal
Responsible users who log into the mobile app or portal see a centralized family dashboard. This is one of Omoplata's key strengths -- parents get a single place to manage everything for their entire family:
- A list of their children with each child's active membership
- Class attendance and upcoming schedules for each child
- The ability to confirm or decline upcoming class attendance (the next three sessions per child)
- Access to the billing page, which always shows the responsible's own payment methods
If the parent also trains at the club, the app shows both their own membership (schedules, attendance, billing) and the children overview side by side. If they are only a guardian (not a member), the app shows only children-related information. This works the same way whether the parent uses the mobile app or the browser portal.
