Members
Notes
The Notes tab on a member's profile lets your team add internal notes about that member. Notes are only visible to staff in the admin dashboard -- members cannot see them in the portal or mobile app. Use notes to document conversations, track special arrangements, or share context with colleagues.
Adding a note
Click Add note to open the editor. The editor supports rich text formatting:
- Text formatting -- Bold, italic, underline, and strikethrough.
- Headings -- Three heading levels for organizing longer notes.
- Lists -- Bullet and numbered lists.
- Quotes -- Block quotes for highlighting key information.
- Code -- Inline code and code blocks.
- Links -- Clickable links to external resources.
- Dividers -- Horizontal lines to separate sections.
You can also type / in the editor to open a command menu for quickly inserting headings, lists, quotes, and other blocks.
Once you are done writing, submit the note. It is saved immediately and appears in the notes list.
Viewing notes
Notes are listed in reverse chronological order -- the most recent note appears at the top. Each note shows:
- The full note content with its formatting
- The name of the staff member who created the note
- The date and time the note was created
Deleting a note
Click the delete button on a note to remove it. A confirmation dialog appears before the note is permanently deleted. Deleted notes cannot be recovered.
Internal only
Notes are strictly internal. They are visible only to staff with access to the member's profile in the admin dashboard. Members never see notes in the portal or mobile app, so you can write freely about billing issues, behavior concerns, or any other internal matters.
