Products
The Products page lets you manage your club's merchandise catalog. Whether you sell gis, rash guards, belts, boxing gloves, or branded apparel, you can list everything here with pricing, stock levels, and images.
Viewing your products
Navigate to Shop > Products in the main sidebar. Products are displayed as visual cards in a grid, each showing:
| Field | Description |
|---|---|
| Product image | A photo of the item, if uploaded. |
| Name | The product name (e.g., "Club BJJ Gi - White"). |
| Category | The product category (e.g., "Gis", "Equipment", "Apparel"). |
| Price | The retail price including tax. |
| Stock | Current inventory count, with a green indicator when stock is available. If the product comes in sizes, this is the total across all of them. |
| Variants | How many sizes or variants the product carries, if it has any. |
Creating a product
Click the Create product button in the top-right corner to open the product form. Fill in the following details:
| Field | Description |
|---|---|
| Name | A descriptive product name. Be specific enough that members can identify the item (e.g., "Women's No-Gi Shorts - Blue, Size M" rather than just "Shorts"). |
| Category | Select from your product categories to keep the catalog organized. |
| SKU | An optional stock-keeping unit code for your internal tracking. |
| Description | An optional longer description of the product. |
| Price | The gross (tax-inclusive) selling price. |
| Net amount | The price before tax. |
| VAT rate | The applicable tax rate as a percentage. |
| Stock | The current quantity in inventory. The field disappears as soon as you tick sizes below -- each size then carries its own stock. |
| Track inventory | Whether the system should track and decrement stock when sales are made. |
| Image | Upload a product photo for the catalog display. |
| Active from / Active to | Optionally set a date range for when the product is available for sale. Useful for limited-time items or seasonal merchandise. |
Editing a product
Click the Edit button on any product card to modify its details. You can update the price, stock levels, description, image, and availability dates.
Sizes and variants
A gi does not simply exist -- it exists in A1, A2 and A3, and you have four A2s on the shelf and no A4 at all. Physical products can therefore be tracked on an axis: a size, a weight, a colour. Which axes your club has is defined under Shop settings.
The product form has a Sizes / variants block for this:
- Pick the axis -- "Gi size (adults)", for instance. Leave No variants (one stock number) selected and nothing changes: one product, one number.
- Tick what you stock -- only the sizes you actually carry.
- Enter the stock per size -- the number that is really on the shelf.
- Enter a price only where it differs -- otherwise the field stays blank and reads "same", meaning the product's own price applies. If an XXL gi costs more, put a price on that row alone.
Once sizes are ticked the plain Stock field disappears: from then on each size carries its own stock, and what you see on the product card and in the stock summary is the total. Stock value is calculated size by size too, so a pricier XXL does not end up counted at the standard price.
Dropping a size from the range
Untick a size and it vanishes from every picker but stays on past sales. Nothing in your history changes -- you simply stop selling it.
Variants exist for physical products only. Passes and voucher products have no sizes.
Handed out at signing
If your club gives new members something on the way in, you can release a product for it. The Handed out at signing switch sits in the product form -- but only when Hand equipment to members is switched on in Shop settings.
A product flagged this way appears in the Equipment step at signing and in the picker when your team records a handover by hand. Under the switch you can also say who it is for: nothing ticked means everyone, otherwise it is offered only to the ticked member types -- so the kids' shirt is not offered to an adult.
The scope applies to handing over only. At the till the product stays available to everyone: a parent buying a kids' shirt is an ordinary sale.
Nothing is charged at signing -- all that is recorded is that the member received the item. Everything about it is under Equipment.
Product categories
Products are organized by category. Categories help both your staff and members find items quickly. Common categories for martial arts clubs include:
| Category | Examples |
|---|---|
| Gis & Uniforms | Training and competition uniforms |
| Protective gear | Mouth guards, shin pads, ear guards |
| Apparel | Club-branded t-shirts, hoodies, rash guards |
| Belts & Stripes | Belt ranks and stripe tape |
| Equipment | Focus mitts, thai pads, skipping ropes |
| Accessories | Water bottles, gym bags, patches |
Quick sales
Click the Create sale button to record a quick sale without leaving the products page. This opens the sale form where you can select a member, add products and quantities, and record the transaction. See Orders for more details on managing sales.
Inventory tracking
When inventory tracking is enabled for a product, the stock count decreases automatically each time a sale is recorded. For a product with sizes, the size that was sold is what goes down, not the product as a whole. If a product reaches zero stock, it remains visible in the catalog but staff should check availability before selling.
