Orders

The Orders page shows a history of all product sales recorded at your club. Every time you sell a gi, a pair of gloves, or any other item from your product catalog, the sale is recorded here with the member details, items purchased, quantities, and total amount.


Viewing orders

Navigate to Shop > Orders in the main sidebar. Orders are displayed as cards in a grid, each showing:

FieldDescription
Total amountThe full sale amount.
MemberThe name of the member who made the purchase.
Line itemsEach product in the order with its quantity and unit price (e.g., "2x Club Rash Guard - 35.00").

Orders are sorted by date with the most recent sales appearing first.


Creating a sale

Click the Create sale button in the top-right corner to record a new product sale. The sale form lets you:

  1. Select a member -- Search for and select the member making the purchase. If the member holds redeemable vouchers, an Available vouchers panel then appears (see below).
  2. Add products -- Choose one or more products from your catalog and set the quantity for each.
  3. Review the total -- The system calculates the total based on the selected products and quantities, including any applicable VAT.
  4. Submit -- Record the sale. If inventory tracking is enabled for the products, stock levels are updated automatically.

You can also start a sale directly from the Products page using the Create sale button there.


Available vouchers

Once you select a member, an Available vouchers panel appears in the sale form -- provided the member holds vouchers that can be redeemed on product sales. Only active vouchers that are within their validity period, allow the product-sale usage, and still have a positive balance are shown.

Each entry shows:

Up to ... per saleAn optional cap on how much of the voucher can be applied per sale. Shown only when such a cap is set.
Remaining balanceA badge with the voucher's remaining balance.

These vouchers are applied automatically to the sale -- you do not need to do anything else. When you record the sale, Omoplata deducts the eligible balance:

  • Cash sales: The discount is folded into the immediately-paid invoice. The total already reflects the voucher (for example, 11.90 - 5.00 = 6.90).
  • SEPA and other non-cash methods: The voucher is held as a pending offset and billed alongside the sale.

Order details

Each order card displays the breakdown of the sale:

  • The member who purchased the items
  • Each line item with quantity, product name, and unit price
  • The total amount paid

Adding new products

If you need to sell an item that is not yet in your catalog, you can create a new product directly from the orders page using the Create product button. This saves you from navigating away when you need to record a sale quickly.


Common use cases

At the front desk

When a member wants to buy a new gi or belt after class, open the Orders page, click Create sale, select the member, add the items, and submit. The sale is recorded and stock is adjusted.

After a belt ceremony

Following a graduation event, you might sell several belts and stripes at once. Record each sale to keep your inventory accurate and maintain a complete sales history.

Tournament merchandise

If your club sells branded merchandise at tournaments or events, you can record those sales after the fact to keep your books up to date.
