Set up step by step
Add your contract details
Every member signs a contract when they join. What it says is what you define here -- once, before you register your first member.
Go to Settings > Legal.
What belongs here
| Detail | What it is for |
|---|---|
| Club information | Company name, address and tax or registration numbers. They appear on the contract cover page and on your invoices, and should match your official registration. |
| Terms and conditions | Your terms of business. New members accept them by signing the contract. |
| Required checkboxes | Individual consents a person ticks in addition -- privacy policy, photo and image rights, house rules, newsletter. |
| Contract text per member group | The actual contract content, separated by member group. |
Defining required checkboxes
Checkboxes deliberately sit outside the contract text: a contract is accepted as a whole, while a single consent can also be declined -- publishing photos, for example.
- In the Legal section, open Agreements.
- Create an entry per consent: privacy policy, photo and image rights, house rules, any other individual consent.
- Word the text the way it should appear to the member, and decide whether agreeing is mandatory.
Every answer is recorded together with the wording that was shown, and appears in the finished contract directly above the signature.
More on this: Agreements.
One contract text per member group
Every member group has its own field for the contract information -- each group gets its own tab. That way adults and kids can get different terms.
- Switch to the member group's tab at the top.
- Write the contract text in the editor -- headings, bold and italic, lists and links are available.
- Repeat for every other group.
- Save all tabs together with Save.
If the contract information is identical for every member group, simply put the same content in each tab.
A group without a text gets no contract
Groups you leave empty stay empty -- no contract is shown when someone signs up and no signature is recorded. So check every tab individually.
Using the preview
In the top right you switch between Edit and Preview. The preview renders exactly the template the PDF is built from -- same font, same spacing. What you see there is what ends up in the signed document.
Placeholders
Three placeholders stay in the text and are only replaced when the contract is signed:
| Placeholder | Replaced by |
|---|---|
{{ member }} | The member's name |
{{ plan }} | The chosen plan |
{{ club }} | Your club's name |
Where these details show up later
The contract you record here is used as soon as a member signs: at registration, when they switch contracts, and when an expiring membership turns into a new contract. If you offer trial classes through your website, the trial contract applies there.
Changes apply from the next signature onwards
A changed contract text only affects future signatures. Contracts that have already been signed are archived as PDFs and never change retroactively. Have your texts checked legally once before you register your first member.
